Cover Letter Outline

There are essentially three types of cover letters:
  • Letter of Application: This letter generally accompanies a resume and is sent in response to a specific job listing.

  • Unsolicited Letter: This letter also accompanies a resume and is sent to a list of companies that you have identified as companies for which you would like to work. While this is not the most effective letter, it can work well for job seekers with specific skills and experience.

  • Networking Letter: This letter requests advice or information and is generally sent to a specific contact at a company. This letter can also be used to request an informational interview.
Regardless of the type of cover letter you are writing, cover letters generally follow the format below.

Dear Company Representative:

OPENING PARAGRAPH

The opening paragraph should introduce yourself and arouse interest on the part of the reader. Tell why you are writing the letter; if you are aware of a specific opening, refer to it and tell how you heard about it. If you are not aware of a specific opening, state your area of interest. Refer to any individuals who recommended that you contact the company. Give information to demonstrate your specific interest in and knowledge about the company.

SECOND PARAGRAPH

The second paragraph should tell the reader in brief terms your academic or professional background. Focus on specific skills, activities, accomplishments, and experiences. Use action verbs.

THIRD PARAGRAPH

Your middle paragraph should create desire by relating you and your background to the company and the position you are seeking. Show the reader why you should be considered as a candidate. Cite specific examples of your qualifications that relate to the position. Continue to demonstrate knowledge about the company and industry. Refer to your resume or other material, but do not reiterate passages from your resume word for word. Be brief and to the point.

CLOSING PARAGRAPH

In your closing paragraph, ask for action. Ask for an appointment and suggest a time when you will be available. Let the reader know what will happen next (i.e. you will call them to set up an appointment). A positive request is much more effective and harder to ignore than a vague hope. Express your willingness to provide additional information. Thank the reader for his/her time and consideration.
