The associate project manager for production (APM) supports the managers of print and digital product development, as well as the program management team. The APM focuses on production-related project details such as specs, schedules, and vendor contracts and invoices, ensuring accurate information in tracking systems and reporting discrepancies to the team.

This is an entry-level, full-time, virtually-based position for someone who's attentive to details and deadlines and is interested in contributing to and learning more about publishing processes.

Responsibilities include but are not limited to:

- Own Smartsheet setup process and data entry, monitor Smartsheets for currency, flag and/or rectify conflicting or missing information, and also input/update related data in internal project tracking tools. (Note: Smartsheet and general data entry, evaluation, and reporting fully comprise 50% of this role.)
- Manage initial data entry in publisher's system/database, flag and/or rectify conflicting or missing information, and monitor vendors' ongoing maintenance of each project's database records. Ensure each component within a title has the correct status when entering production and gets marked as published upon completion. Check that full service vendors have completed closeout activities and follow up on missing archives.
- Manage manufacturing-related data in publisher's database, work with the program managers to confirm information for manufacturing, and support program managers in reviewing details within vendor-prepared manufacturing forms (e.g, Print & Bind form).
- Assist team with gathering information for project turnover to full-service production vendors, checking ISBNs and specs against database and flagging any discrepancies.
- Prepare vendor Statement(s) of Work (SOWs) or Purchase Orders (POs) based on approved estimates and track completion status. Compare invoices against SOWs/POs and report discrepancies to program managers to resolve with the vendor as needed.
- Review full-service production vendors' weekly status reports, compile a summary for management, and flag missing status reports or information for program managers to follow up on.
- Gather first-pass frontmatter and second-pass pages on a weekly basis for publisher's marketing group or other external contacts/teams that need access.
- Collate or transfer production notes for print-to-digital conversion as needed.
- Assist with file maintenance and organization and other tasks as needed.
- Proficiency with Microsoft Office Suite, Google Apps, Dropbox functionality, Smartsheet, and comfort using web-based project-tracking tools preferred.
