----- The desired work schedule is approximately 4 hours per day, during normal Business Hours, Monday through Friday (exact timing TBD).
----- This position will be active for approximately 3 to 4 Months.
----- This position is W2 hourly, Non-benefited.

This Administrative Assistant will provide generalized support to the Director of Finance and Director of Human Resources during the absence of our current Administrative Professional. The Administrative Assistant will support all project processing, timesheet processing, reporting, invoicing, expense reporting, travel booking and other general tasks.


- Conducts a detailed and thorough review of all weekly employee timesheets and emails employees and managers regarding corrections needed.
- Duplicates time entries into Client system as needed.
- Assists in creating company documentation as needed, while using professional language, spelling and formatting on company letterhead/ templates.
- Processes new sales contracts in the company's OpenAir system, preparing them for time/ expense entry and invoicing.
- Reviews and processes employee expense reports, including:
- ----- Ensures compliance with company and Client policies.
- ----- Approves and rejects/ sends-back expenses for correction as appropriate.
- ----- Duplicates expense entry into Client system as needed.
- ----- Tracks all approved expenses for reimbursement for payroll.
- Prepares weekly internal reports for management.
- Prepares and emails weekly time detail reports to Clients.
- Prepares company invoices, using the company's OpenAir system, including:
- ----- Runs reports and checks for errors.
- ----- Creates and submits invoices for approval.
- ----- Issues invoices to Clients out of the OpenAir system or submits them via Client invoicing sites.
- Processes Monthly Sales Commissions, including:
- ----- Runs reports and checks for errors.
- ----- Updates Sales Team Member's individual Commission Reports.
- ----- Administers approvals on all commissions data.
- ----- Tracks all approved commissions for payroll.
- Books employee travel as needed, including:
- ----- Makes flight reservations.
- ----- Makes hotel reservations and communicates with the hotel regarding CC Authorization Forms.
- ----- Makes rental car reservations.
- ----- Sends employee confirmation emails.
- ----- Tracks travel on shared calendars.
- ----- Handles travel cancellations and changes as needed.
- Uses and regularly updates the company file-sharing cloud with Client related documentation and information.


- A minimum of five (5) years of proven experience in an Administrative Support role.
- Strong working knowledge in all Microsoft Office Products, with a focus on advanced/ expert level skills in Word and Excel.
- Exhibited strong attention to detail, persistence and assertiveness skills.
- Demonstrated strong verbal and written communication skills (grammar/ spelling) including a comfort level with speaking to company executives and leaders.
- Ability to successfully self-manage and work autonomously.
- Passion for achieving team goals and supporting other individuals and groups.
